Working with Children Checks

WWC Checks now required by order of the Department of Justice

The Victorian Department of Justice policy is that all students undertaking a clinical placement, that involves working with children, must obtain a Working with Children (WWC) Check. It is the student’s responsibility to obtain this check prior to undertaking a clinical placement involving children. Thus, where such a clinical placement forms part of the course requirements, the faculty requires all students to have a WWC Check.  The WWC Check ID Card must be sighted by the faculty once issued.

Please note: The application process is free of charge for students and once issued the WWC Check is valid for five years. The student is responsible for notifying the faculty of any infringement or change in status with regard to the Check.

Please consult with your course convenor regarding this requirement. For further reference please refer to the Department of Justice Working With Children website.

The Department of Justice will notify the faculty of any student that fails the WWC Check and the faculty will notify the clinical placement provider immediately. The student will be withdrawn from their placement as required. Students failing the check will need to meet with their course convenor immediately to discuss course progression options.

Procedure

Step 1. Obtaining a Working with Children Check (WWC)

To obtain a WWC Check you need to apply to the Victorian Department of Justice. Application forms are available from Australia Post Offices. The application form must be completed and submitted to Australia Post together with a passport size photo. There is no charge for applying for the WWC Check as students are classified as volunteers. However, please be aware that it can take up to 2 months to obtain the WWC Check ID card.

Step 2. Filling in the form

When filling out the form please note the following:

Point 11 Details of child-related work:

  • Please specify Code No. 58, and cross 'Volunteer'.

Point 12 Details of organisations/s:

  • Please cross third option (I currently work or volunteer in child related work etc).
  • Name of primary organisation:  Faculty of MN&HS, Monash University (insert your school/department and campus e.g. Clayton, Peninsula)
  • Please ensure you put your course name and course code (e.g. MBBS - 0040) after the location in the space for Name of primary organisaion
  • Contact phone number:
    All MBBS Associated programs: +61 3 9905 4320
    All other courses see: http://www.med.monash.edu.au/ugrad/admin.html

Please note: You will need to provide your local correspondence address and have the card sent to your local address. Do not nominate the faculty to receive your ID card as it is your property.

Please note:

  1. Appliction forms are only available from Victorian postal outlets.
  2. Interstate student can only apply for a WWC check once they have a verifiable Victorian residential address.
  3. Victorian Department of Justice requirements do not allow for checks to be forwarded from overseas.

Step 3. Verify your check with the university

When you have received your WWC Check you must:

  • Download and complete the verification/permission slip (pdf, 28kb) (restricted access)
  • Bring your WWC ID Card and the verification/permission slip to your course office for sighting by the Course Administrator and recording that you have completed this requirement.
  • You will be given a copy of the verification form for your record keeping. You may be required to present the WWC ID card on demand at any of your clinical placements, and you will need to have it readily available.
  • Where it is impossible for students to attend their course office and present their WWC ID Card for sighting and verification, students will need to contact the Course Administrator regarding alternative arrangements.
